Acquisitions Coordinator and Building Unit Support — Lilly Library

Earlham College invites applications for the position of Acquisitions Coordinator and Building Unit Support in Lilly Library. This is a full-time (40 hours per week during the academic year, 37.5 hours per week during the summer), hourly staff position. The starting rate for this Staff Level 6 position is $11.71 per hour, with an increase to $11.86 per hour upon successful completion of 90-day introductory period. Compensation also includes a benefits package. The position is supervised by the Technical Services Librarian.

Primary Duties & Responsibilities

This position will serve three-quarter time to Library duties:

  • Manage the acquisition of physical materials (books and media) for the library collection:
    • Hire, schedule, train and supervise student workers.
    • Maintain standing/serial book orders for the library collection.
    • Process payments for all related library purchases and maintain adequate records, including management of library credit card.
    • Create reports upon request using library software.
  • Manage the electronic and physical processing of library materials acquired by purchase or donation for the collections:
    • Hire, schedule, train and supervise student workers.
    • Ensure that materials are properly added to the library collections and made accessible to library patrons.
    • Maintain records related to library collections.
  • Oversee the withdrawal of materials from the library collection and maintain related records.
  • Assist in collection maintenance duties as assigned, including data management, troubleshooting access to physical materials, and special projects.
  • Perform basic administrative support duties for the library such as purchase library supplies.
  • Assist with Circulation and InterLibrary Loan tasks as needed based on available time. Tasks may include preparation of monthly statistics and fine reports and tasks surrounding reserves and inventory processes.
  • Communicate with other library staff, accounting office, PALNI staff, library vendors and others as needed to carry out position functions.
  • Participate in Library and College staff activities and in PALNI workshops, training sessions and group meetings, as well as other professional development opportunities.

The remaining one-fourth of this position is assigned to support services for other departments housed within the library building. Duties have not yet been fully determined but may be adapted based on the skills of the candidate, and may include:

  • Acquisition of materials for related units.
  • Clerical tasks including processing payments, reservations and other unit support duties.

Experience & Qualifications

  • Some college study is desirable; a bachelor's degree is preferred.
  • Previous work experience in a library or educational setting is highly desirable.
  • Basic knowledge of accounting practices or accounting experience is desirable.
  • A detail-oriented worker with excellent clerical and communication skills.
  • The ability to learn complex library procedures.
  • The ability to learn and maintain a working knowledge of computer equipment and software.
  • The ability to evaluate office procedures and suggest improvements.
  • Willingness to attend scheduled meetings and professional training.
