Administrative Assistant - Office of Accounting and Human Resources

Description

The Administrative Assistant provides administrative and clerical support for the Controller’s office as well as the Human Resource’s office.  Primary duties include oversight of the employee credit card program in Accounting and clerical support for Human Resources. 

Primary Duties & Responsibilities

Specific Accounting Responsibilities:

  • Manage the college’s employee credit card program
    • Order cards and distribute for employees; prepare cardholder agreements
    • Train employees on the use of the on-line credit card system
    • Assist employees with all credit-card related issues
    • Review and process monthly credit card reports; reconcile to general ledger
    • Follow up with employees who miss report deadlines
    • Serve as the primary liaison with the credit card company
    • Provide excellent customer service to employees
  • Manage the college’s debit card program for off-campus travel 
  • Prepare annual budget worksheets for departments using Excel
  • Oversee archived document storage and disposal for accounting department
  • Manage the college’s Verizon business account
  • Provide clerical support for the controller including Excel spreadsheet maintenance
  • Maintain confidential records, files, policies and procedures 
  • Occasionally assist with backing up other individuals in the accounting office including accounts payable, data entry, customer service, and filing
  • Reconciling rental property activity 
  • Scanning checks for deposits into operating account
  • Other duties as assigned

 

Specific Human Resources Responsibilities:

  • Oversee archived document storage and disposal for Human Resources department
  • Provide clerical support for Human Resources Department
  • Verify Employment for different institutions outside of Earlham College
  • Audit Payrolls both Bi-weekly and Monthly
  • Take care of general Human Resources calls as they come in
  • Set up “Box” folders for electronic resumes
  • Manage candidate communications through the recruiting cycle
  • Sort and distribute mail
  • Other duties as assigned

Experience & Qualifications

  • Attention to detail with a high level of accuracy
  • Strong computer skills including Excel and Microsoft Word experience
  • Bookkeeping and general office experience
  • Strong analytical and problem solving skills
  • Effective organizational skills 
  • Ability to learn new computer programs
  • Proven ability to handle confidential information
  • Effective and professional oral, writing and listening communication skills
  • Ability to work effectively under pressure, solve problems and adjust quickly to changing situations while maintaining strong commitment to customer service

Education:

  • High school diploma required, post-secondary education preferred
