Administrative Assistant II — Social Science Division

Earlham College invites applications for the position of Administrative Assistant to the Social Science Division. This is a full-time (37.5 hours per week during the academic year, 20 hours per week in the summer), hourly staff position with a starting rate of $11.71 per hour, with an increase to $11.86 per hour upon successful completion of 90-day introductory period. Compensation also includes a benefits package.

Primary Duties & Responsibilities

  • Serving as the receptionist for the Social Science Division by monitoring and directing telephone traffic, taking messages, maintaining appointment calendars for Division faculty, processing and distributing incoming mail and answering questions from students, visitors and other College offices.
  • Maintaining a filling system for all academic departments within the Social Science Division.
  • Providing support for 27 Social Science faculty in the Social Sciences and seven Interdisciplinary programs.
  • Typing Phi Beta Kappa letters to students, advisers and mentors. Keeping a list, receiving registration cards and dues from the students for Phi Beta Kappa.
  • Coping various work items, exams, and seeing that reserves are copied and placed at Lilly Library. Maintaining reserves in the Social Science office.
  • Ordering desk and examination copies for the faculty members. As the copies are received in the office, open the boxes and distribute them to the proper faculty member.
  • Seeing that the daily bulk and post office mail is distributed in the proper faculty member's mailbox.
  • Keeping supplies stocked and at hand for use for each faculty member.
  • Filing various needed paperwork.
  • Ordering and planning foods for luncheons, when needed.
  • Setting up meetings for faculty.
  • Typing letters requesting copyright permission. Filling out check warrants for payment of copyrights.
  • Helping students with their needs.
  • Running errands on campus.
  • Answering transferred calls and helping students from the Peace & Global Studies (PAGS) and African & African American Studies (AAAS) programs when needed.
  • Taking messages for various faculty members that do not have voice mail.
  • Accommodating faculty member's needs.
  • Keeping all copiers stocked with paper.
  • Performing other duties as directed by the Social Science Office Manager and the Social Science Division Convener.

Experience & Qualifications

  • A high school diploma or GED certification is required.
  • An associate’s degree is preferred or one to two years of experience working in a post-secondary academic environment.
  • Computer training in Microsoft Office applications and the ability to learn other computer software programs and general office equipment experience. 
  • Demonstrated ability to work and supervise students in a diverse atmosphere.
  • Must be able to work with minimal supervision.
  • Ability to multitask and manage multiple project deadlines in a timely and professional manner.
  • Ability to handle several responsibilities at one time.
  • Excellent phone etiquette; good oral and written communication skills.
