Earlham College invites applications for the position of Telecommunicator/Dispatcher in the Department of Public Safety. This is a part-time (16 to 24 hours per week) staff position.
The Telecommunicator, reporting to the Assistant Director of Public Safety, acts as a primary emergency contact, a general information center and a message relay center for the campus. This position handles all incoming calls through the college switchboard and coordinates dispatch and deployment of Public Safety and other campus personnel. This position primarily covers Friday and Saturday evening and nights, which may include holidays. Other shifts may become available as well. Preferred applicants would be available for all shifts as needed.
Primary Duties & Responsibilities
- Answers all Department of Public Safety (DPS) phones (emergency and non-emergency) and initiates necessary response.
- Answers incoming calls received through the campus switchboard and forward to appropriate office or provide information as needed.
- Monitors the campus alarm systems; including fire alarms, security alarms, panic alarms, power transfer alarms, data center temperature alarms, making proper and necessary notification as appropriate.
- Coordinates dispatch and deployment of personnel by appropriately communicating with radio or phone to public safety officers.
- Maintains necessary communications with local law enforcement, fire department and EMS personnel as well as various campus departments, including facilities, residence life and housekeeping personnel.
- Maintains a shift log of all department activities.
- Provides reception and front desk service for visitors and guests at the Department of Public Safety.
- Monitors the campus access control system (control locking and unlocking of doors as instructed or as necessary), ID card distribution and security camera systems.
- Utilizes databases for documentation and retrieval of information (vehicle parking permits, event registrations, guest housing, etc.).
- Utilizes records management system for processing parking tickets, vehicle registrations, bike registrations, incident reporting and key distribution.
- Provides administrative support for the DPS, including billing, filing and records management, and scheduling.
- Serves as primary contact for all facilities and college community concerns after regular business hours, weekends and during academic breaks, 365 days a year.
- Coordinates and assists with emergency management team for campus emergency notifications and administrative support.
- Remains current and follows DPS and College’s procedures, rules, regulations, resources and schedules.
- Participates in training sessions as required by DPS.
- Completes, updates and reviews databases and departmental documents.
- Monitors and is familiar with college community and event information.
- Assists with non-residential key distribution for students and employees.
- Assists with equipment check in/out for community members (battery charger, bike pump, etc.).
- Acts as emergency contact for college groups traveling away from the College.
- Compiles statistics of department activities as requested.
- Reads, responds and/or forwards Public Safety email, as necessary.
- Responds to campus for emergency situations, as necessary.
Experience & Qualifications
- High school diploma or GED certificate.
- General administrative assistant experience.
- Good oral and written communication skills.
- Ability to accurately type with excellent proofreading skills.
- Ability to work in an environment that requires multitasking on a daily basis.
- Must be able to work in a high-pressure environment.
- Ability to handle multiple projects in a timely and professional manner.
- Highly competent with using Microsoft Word, Excel and email in an office setting.
- Aptitude/experience in learning new computer databases and programs.
- Excellent problem-solving and good interpersonal skills, including the ability to work well in a team setting with minimal supervision.
- Ability to assist in the supervision of student staff.
- Neat and organized work style, excellent phone etiquette skills and the ability to handle confidential information while focusing appropriately on the task at hand.
- Regular attendance and punctuality are expected.
- This position is subject to callback for emergency situations and during special events.
