Scheduling and Reservations

Events are special opportunities that serve the mission of Earlham College by extending and enriching the opportunities provided by our curriculum and locally organized activities. Earlham seeks to present a broad variety of such special opportunities, which support the intellectual, spiritual, creative and artistic endeavors of the College.

Some should be expected to command the attention of the whole community; some should be expected to interest smaller groupings. Earlham’s approach to event planning encourages initiative to come from many people and areas on the campus. One office or person is not responsible for the planning or carrying through of all events, but works in conjunction with a variety of departments and programs on campus in the creation and presentation of an events season on the campus.

Selection of date, time and location

If you would like to have an event at Earlham College, it is advisable to consult the current events calendar, which contains a listing of events on campus. The Presenter is encouraged to schedule an event in keeping with the programming guidelines set forth by the College. The guidelines encourage the Presenter when reserving a date for an event to keep in mind like events occurring in same time period. The College is committed in bringing and providing a wide variety of events such that it allows for the greatest number of the Community the opportunity to attend. Support in selecting a date, time, and location which will be in keeping with the events policies and guidelines of the College is available through the Reservationist and the Events Coordinator. To reserve a space for your event, you can fill out our location reservation form or call one of the offices listed on the right.

Public Events

Events, which will be marketed to the greater Richmond/Wayne County area, will need to be approved by the Events Coordinator and the Earlham Events Committee. Contact the Events Coordinator, Lynn Knight at (765) 983-1373.

Student-Run Events

All Student Organizations need to contact the Interim Coordinator of Student Activities and Runyan Center Kris Ashenfelter throughout the entire planning of their event. Contact her at (765) 983-1580.

Runyan Desk

Runyan Desk is the primary location for reserving space outside of the academic day, during school breaks and in the summer. If you wish to make a reservation, please call (765) 983-1587 or stop by the desk between 9 a.m. and 4 p.m. Leave a voice message if you do not talk to a reservationist and he/she will return your call at their earliest convenience.

When you call Runyan Desk, please have the following information available:

Time needed in room (from beginning to end)
Event time
Any other needs (equipment, tables/chairs/set up, food/beverage, etc)

Campus Reservations

For information about the different areas available for reservation, please call the appropriate office or area.

Classroom Spaces - All classroom spaces are reserved through the Registrar’s Office during the academic year. Please call (765) 983-1515 between the hours of 8 a.m. and noon or 1 p.m. and 4 p.m.

The Richmond Room and LBC 106 - These rooms in the Landrum Bolling Center are reserved through Runyan Desk. Please submit an online reservation form to reserve these rooms. If you need to check availabilty you can e-mail Kris Ashenfelter at or call (765) 983-1587.

President’s Conference Room  - This room in Carpenter Hall is reserved through the President's Office. Please contact Lyn Thomas at or call (765) 983-1211, or Darlena Ranklin at or call (765) 983-1318.

Library and Computer Spaces - If you need to reserve space in the libraries or a computer space, please call Lilly Library at (765) 983-1287.

Computer Labs - Our labs can be reserved through Computing Services at (765) 983-1527.

Wellness Center - All spaces in the Wellness Center are reserved through the Wellness Center Director at (765) 983-1731.
