On behalf of the Office of Residence Life and Earlham College, we are excited to welcome you to your home away from home at Earlham!  We know that move-in can be a stressful time for our students and their families and we want you to feel as confident in the process as possible.  Our Residence Life staff is ready to welcome you and support your transition to Earlham. Refer to the links below and to the left for more information about move in, what to bring/not to bring, and to find answers to many of your housing-related questions.

New Student Move-In Information

New student move-in day is Saturday, August 17, 2019.

8 a.m.-1 p.m. - Athletics and Wellness Center

Residence Life check in for new students starts at the Athletics and Wellness Center (AWC). Students and families can park in the lots immediately outside of the AWC. There will be volunteers to direct you where you need to go once inside the AWC. While inside the AWC, students will check in with Residence Life to pick up their key. During this time, students also will check-in with New Student Orientation where they will receive a schedule for the weekend. You will also have the opportunity to visit the tables of various campus offices, including representatives from the Registrar’s Office, Food Services, Public Safety, local businesses and more. When leaving the AWC volunteers will direct students to their residence hall. There will be volunteers to help unload your vehicle outside of each of our first-year residence halls. Once the vehicle is unloaded, one member of the family must move the vehicle to a parking space so that other families are able to unload their vehicles. Volunteers will direct you where to park and will assist in moving the student’s items to their room.

1 p.m.-12 a.m. (midnight) - Student Life Office

Residence Life check in moves to the Student Life office at 1 p.m. New students will pick up their key and their New Student Orientation information and schedule from staff members stationed in our main office located on the first floor of Earlham Hall. Volunteers will not be available to assist with unloading and moving items into rooms after 1 p.m.

New students are able to request an early arrival if they need to move-in to campus sooner than New Student Move-In Day on Saturday, August 17, 2019.  All students moving-in early are charged an early arrival fee* of $50 per night.  New students wishing to request an early arrival should complete this Early Arrival Request Form specifically for new students.

*Note: some groups may be exempt from the early arrival fee.  These include (but are not limited to):

  • New international students arriving beginning Thursday, August 15, 2019
  • Fall athletes participating in practices beginning before Saturday, August 17, 2019 (check with your coach to confirm your practice schedule and move-in date)
  • Students participating in pre-term EPIC programs such as August Wilderness, PLACE, etc.

Please contact our office if you have any questions about arriving early.

New students who have completed their housing application and alcohol assessment will receive their roommate assignments by Monday, July 8, 2019.  Assignments are made based on information provided in the roommate profiles contained in the housing application accessible through the Housing Portal.  Students are encouraged to contact their roommate prior to move-in to learn more about them and to discuss what each is planning to bring.

Room change requests will be processed beginning Tuesday, September 3, 2019.

After a new student has checked in with Residence Life and picked up the key to their room, they are able to pick up their student ID card from Public Safety staff.  This ID card allows students to access their residence hall and to use their meal plan.

Returning Student Move-In Information

Returning student move-in day is Sunday, August 18, 2019.

10 a.m.-12 a.m. - Student Life Office

Students will pick up their key from staff members stationed in our main office located on the first floor of Earlham Hall.  Volunteers will not be available to assist with unloading and moving items into rooms.

Returning students are able to request an early arrival if they need to move-in to campus sooner than Returning Student Move-In Day on Sunday, August 18, 2019.  All students moving-in early are charged an early arrival fee* of $50 per night.  Returning students wishing to request an early arrival should complete this Early Arrival Request Form specifically for returning students.

*Note: some groups may be exempt from the early arrival fee.  These include (but are not limited to):

  • Fall athletes participating in practices beginning before Sunday, August 18, 2019 (check with your coach to confirm your practice schedule and move-in date)
  • Students participating in pre-term EPIC programs such as the Peace Corp Prep Program, Fullbridge, etc.

Please contact our office if you have any questions about arriving early.

Returning students should be able to access the Housing Portal to view the housing assignment they selected during room selection.  For those who did not participate in room selection, housing and roommate assignments are made based on information provided in the roommate profiles contained in the housing application accessible through the Housing Portal.  Students are encouraged to contact their roommate prior to move-in to learn more about them and to discuss what each is planning to bring.

Room change requests will be processed beginning Tuesday, September 3, 2019.
