Assistant Director of Sponsored Programs and Foundation Relations — Institutional Advancement

Earlham College is accepting applications for the position of Assistant Director of Sponsored Programs and Foundation Relations in the Institutional Advancement Office. This is a full-time, 12-month administrative faculty appointment. Salary is commensurate with experience, and includes a benefit package.

The Assistant Director of Sponsored Programs and Foundation Relations facilitates coordination of activities related to providing a supportive environment for the research and scholarly endeavors of the faculty. Through collaboration with the Director of Sponsored Programs and Foundation Relations, they will assist with pre-proposal strategy development, proposal writing and editing, administrative oversight of awards, coordination of budgeted activities, post-award reporting, compliance for sponsored funding, and the faculty-student collaborative summer research program. 

The position will report to the Director of Sponsored Programs and Foundation Relations and work closely with faculty, the Controller, and the Institutional Advancement office staff.

Earlham College entered its most ambitious fundraising campaign in July 2017. The Assistant Director of Sponsored Programs and Foundation Relations will contribute to the College’s ability to attain the campaign goal through strategic identification of potential funders and collaborative proposal development.

Primary Duties & Responsibilities

  • Communicate regularly with the Director of Sponsored Programs and Foundation Relations and the Controller regarding grant activity.
  • Organize grant files, including external grant applications, maintenance of report schedules and grant policies.
  • Identify funding sources for institutional priorities and faculty research, and disseminate this information to appropriate teaching and administrative faculty.
  • Demonstrate an ability to work with faculty in a proactive way to find funding and develop pre-proposals, letters of inquiry and final proposals in accordance with sponsor guidelines.
  • Obtain approvals for pre-proposal (with budget), final proposal (with budget) and awards from responsible Vice Presidents and the Controller and, when appropriate, the President.
  • Assist with budget development, management and expenditure tracking.
  • Work with diverse constituencies across campus, including staff and faculty, to provide effective grants management and timely, accurate grant reporting.
  • Inform grant seekers of and maintain currency of federally mandated and foundation grants policies and procedures that include but are not limited to Responsible Research Conduct, Research Misconduct, Conflict of Interest, Human Subjects, and Vertebrate Animal use.
  • Assist with development of an office website housing announcements of recent grants and policies for submission and administration of grants.
  • Perform other duties as assigned.

Some job responsibilities may be assigned based on the strengths of the candidate.

Experience & Qualifications

  • A bachelor’s degree is required.
  • Excellent written communications skills with solid attention to detail in editorial and proofreading work.
  • Good interpersonal skills for developing and maintaining effective working relationships with faculty, co-workers and external constituencies.
  • Must be comfortable and proficient with managing budgets.
  • Strong organizational and administrative skills with the ability to work both independently and collaboratively, and to organize and manage time effectively.
  • Word processing and spreadsheet competency.
  • Initiative, creativity and talent for problem solving.
  • Ability to manage multiple projects with different deadlines.
  • Discretion in dealing with confidential information.
  • General knowledge of a broad range of academic fields is preferred.
  • Prior experience in Sponsored Programs and Foundation Relations or related fundraising/grant-writing is preferred.
